The HR and Volunteer Coordinator is primarily responsible for managing the systems and operations that equip and support our volunteers and staff team to thrive. Working with the leadership team, this role contributes to the development and implementation of organizational strategies, policies and practices. The HR and Volunteer Coordinator is an essential part of recruiting, screening and training all volunteers and staff to support Inner Hope’s vision, mission and values and engage the work of reconciliation we are committed to. In addition, this role ensures our community space and work environment is safe, tidy and welcoming. This role reports to the Director of Programming and works closely with Program Coordinators in providing volunteer care and support.

Position Requirements:
- Passionate understanding of IHYM’s Vision, Mission and Values
- Experience and maturity to partner with, supervise, and mentor volunteers of diverse ages and backgrounds
- High level of competence in time management and administration, with the ability to be flexible
- Strong ability to problem-solve, prioritize, and set healthy boundaries
- Strong communication skills with proven ability to write at a professional level
- Working knowledge of Microsoft Excel and Word
- Minimum five years of combined post-secondary education/workforce experience
- Minimum two years of experience working in a non-profit or Christian ministry setting
- Knowledge and understanding of trauma and Canadian Indigenous history and lived reality
- Acceptable current criminal record check
- Adherence to IHYM’s Statement of Faith and Code of Ethics
- Driver’s license (personal vehicle is an asset; work-related mileage is reimbursed
Human Resource and Volunteer Coordinator Primary Responsibilities

Volunteer Coordination (20 hours weekly)
- Recruitment and screening
- Advertise, network and present in churches, ministry fairs, post-secondary institutions etc.
- Plan and oversee execution of annual online volunteer campaign
- Help prospective volunteers discern their best fit within Inner Hope’s programs
- Screen and exit volunteers (forms, interviews)
- Training, Supervision and Care
- Conduct initial orientation, training, and provision of resources
- Update and develop training resources as time allows
- Coordinate and facilitate two annual volunteer training workshops (with support from DoP)
- Oversee volunteer support and appreciation
- Program & Event Support
- Oversee volunteer recruitment and supervision for volunteer service projects and annual fundraiser
- Collaborate with program staff to discern and address their volunteer and donation needs for annual community and program events
- Maintain records
- Diligently oversee filing and upkeep of volunteer records
- Manage volunteer budget and reimbursements
- Complete monthly and annual Volunteer Reports
- Communication
- Connect with volunteers monthly (email, text, coffee meet-up)
- Coordinate volunteer assignments through proactive day-to-day communication
- Troubleshoot any performance issues which may require equipping and/or correction
- Attend weekly meetings with supervisor and 1-2 staff meetings per month
Human Resources (10 hours weekly)
- Equipping and care
- Manage all job postings, facilitate staff orientation and exit procedures in coordination with Director of Programs.
- Onboard new staff and educate about policies, systems and administrative protocols
- Oversee staff benefit registration and cancellation and liaise with benefits broker
- Assist the DoP with planning and executing staff retreats and staff send-offs as needed
- Organize staff birthday acknowledgements
- Ensure staff laptops/phone are maintained and updated with necessary software and tools
- Ensure office and household supplies, groceries, and First Aid Kits are stocked
- Maintain records
- Manage administrative duties such as hiring, screening records and employee/volunteer profiles on ShareVision
- Maintain staff records including time sheets, medical information, driver’s abstracts and training
- Schedule performance reviews, ensure templates are up to date and confidentially filed
- Manage budgets for household and office supplies
- Oversee utilities, phone and internet services and bill tracking for both sites
- Health and safety
- Coordinate site inspections and safety drills, alerting Director of Programs to any maintenance needs
- Supervise maintenance volunteers or contractors, including scheduling and payment of housekeeper
- Basic upkeep of Community Space, including kitchen oversight (FoodSafe training provided)
